Privacy notice
What the club does with the details you give us through this website — and what it doesn't.
Last updated: 28 October 2026
This notice explains how Pontypridd Golf Club (“the club”, “we”, “us”) collects and uses personal data when you visit www.pontypriddgolfclub.com, send us a venue hire enquiry, or apply to join using the membership form on this site. We are the data controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Pontypridd Golf Club (Clwb Golff Pontypridd), Ty Gwyn Road, Pontypridd CF37 4DJ. Contact us about anything in this notice at pgc.secretary@pontypriddgolfclub.com, or ring the clubhouse on 01443 409904 and ask for the secretary.
What we collect
- When you send a venue hire enquiry (the form on the home page and the Venue hire page) — your name, your phone number, your email address if you choose to give it, the type of event, a rough date if you have one, and anything else you tell us in your message.
- When you email or ring us — your contact details and whatever you tell us.
- When you apply to join — the membership application form you can download from this site asks for your name, title, gender, date of birth, address, mobile number, email address, the membership and payment option you want, your former golf club and handicap, and your signature. You return it to the club office by hand, by post or scanned by email; it is not sent through the website.
- When you browse — our host keeps standard server logs (IP address, browser, pages requested, time) to keep the site secure. We don’t use analytics or tracking, and this site sets no cookies of its own. The course status on the home page is read from this website and collects nothing about you.
We do not collect special category data (such as health information) through this website.
Why we use it, and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry or question | Legitimate interests — answering people who contact the club (Art 6(1)(f)) |
| Quoting for, booking and running your event | Contract, or steps before one at your request (Art 6(1)(b)) |
| Administering your membership, your handicap and club competitions | Contract — your membership of the club (Art 6(1)(b)) |
| Keeping the club’s accounts | Legal obligation (Art 6(1)(c)) |
| Keeping the website secure (server logs) | Legitimate interests (Art 6(1)(f)) |
We do not sell your details or pass them to anyone else for marketing.
Who we share it with
Only the service providers that run this website for us, each bound to use your details only on our instructions:
- Vercel Inc. — hosts this website and keeps its server logs.
- Resend — delivers enquiries from the website form to the club’s email inbox.
- Studio 72 Cardiff Ltd — our web developer, which looks after the website, its hosting and the enquiry form for us.
Other services on and linked from this site
These are run by other organisations under their own privacy notices:
- 3D hole flyovers on the course card page are made by European Golf Technologies and play in their own video player, which uses Vimeo and Google. Nothing from them loads until you choose a hole. See our Cookie notice.
- Booking a tee time takes you to BRS Golf’s website; results and competitions to Masterscoreboard; and our Instagram link to Instagram. Anything you enter there is handled by them.
International transfers
Some of these providers process data outside the UK (mainly in the USA). Where they do, we rely on the UK–US data bridge, UK adequacy regulations or the ICO’s international data transfer agreement or addendum to keep it protected to UK standards.
How long we keep it
- Enquiries that don’t become a booking: 2 years from our last contact, then deleted.
- Membership records: for as long as you are a member. After that we keep only what the club’s accounts need (below) and its competition records.
- Event bookings, subscriptions and other financial records: 6 years after the end of the financial year they relate to, as HMRC requires.
- Server logs: kept by our host for a short period for security.
Your rights
You can ask us to: see the data we hold about you; correct it; delete it; restrict or object to how we use it; give it to you in a portable format; and, where we rely on your consent, withdraw that consent at any time. Email pgc.secretary@pontypriddgolfclub.com — we reply within one month. No decisions are made about you by automated means.
Complaints
If you’re unhappy with how we’ve handled your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint · 0303 123 1113.
Changes to this notice
We’ll update this notice when the way we use data changes. The date at the top shows the latest version. See also our Cookie notice.
